SGAC is looking for volunteers to support the organisation of the Space Generation Fusion Forum (SGFF) 2018, to be held on 15 - 16 April 2018 in Colorado Springs, USA.

The Space Generation Fusion Forum (SGFF) is an affiliated event of the Space Symposium. The high-intensity, two-day networking and professional development event exposes selected delegates to a range of current and relevant space topics, providing opportunities to discuss important issues in the space industry, interacting with other students and young professionals, meeting and engaging with top-level space industry experts, and providing input that is presented to the United Nations Committee on the Peaceful Uses of Outer Space.

Communication Team (2 positions) 


The communications team is a dynamic, innovative, enthusiastic team with creative members. You are eager to communicate the benefits and advantages of being involved with the SGFF to our target delegate audiences, and potential sponsors or partners, while ensuring your campaigns are consistent with the overall SGAC communications strategy. Members of the communications team will report to the SGFF 2018 Deputy Manager.

Responsibilities

  • Create a social media and marketing campaign to increase visibility of the SGFFwith support from the SGFF 2018 Deputy Manager and SGAC PR & Comms team

  • Execute social media and marketing campaigns with support from the SGFF 2018 Manager, Deputy Manager, and the SGAC PR & Comms team

  • Initiate contact and raise awareness to increase delegate application

  • Coordinate media relations and advertising before, during, and after the event

  • Write and edit press releases for social media platforms and the SGAC website

  • Develop brochures, potential sponsor packages, and other materials for SGFF

  • Proofread and edit all written content and material, including the final reports for the SGFF

  • Update and manage SGFF website content

  • Attend virtual meetings and submit updates via Slack

  • Assist with other SGFF Teams where necessary

Qualifications

  • Eligibility for SGAC membership (under 35 years of age on 16 April 2018, and national of UN member state)

  • Registered member of the SGAC website (register here)

  • Strong interpersonal and communication skills

  • Professionally fluent in English

  • Can work independently and meet objectives in a timely manner

  • Can coordinate and work with a globally dispersed team

  • Can effectively work with an international, interdisciplinary team

  • Fast email and messaging response turnaround time

  • Familiarity with productivity tools is an asset (example: Slack)

  • Experience in social media marketing is an asset

  • Experience with graphic design is an asset

  • Experience with video editing is an asset

Estimated time commitment: 2 hours per week prior to event + 2 days of the SGFF 2018 in Colorado Springs, USA

 

Delegates Team (2 positions)


Members of the delegates team are professional, articulate, and eager to provide assistance and guidance to potential and accepted delegates about the application process, the forum, and logistics of the event. You will serve as the main point of contact to all applicants. You will also aid in the evaluation of delegate applications. The delegates team will report to the SGFF 2018 Manager.

Responsibilities

  • Coordinate all contacts with delegates regarding the status of their application as well as any communication required leading up to, and during, the SGFF

  • Manage and update channels for inter-delegate communication (example: SGFF 2018 Facebook group)

  • Support the selection of delegates through evaluation against a rubric

  • Act as the point of contact for delegates issues/questions and quickly resolving concerns

  • Create the Delegates Database, keeping it up to date, and compiling metrics

  • Curate and compile the delegate handbook with relevant information about the SGFF, the SGFF schedule, biographies speakers/moderators/panelists, information on the Colorado Springs area, and tips on how to prepare for the event

  • Attend virtual meetings and submit updates via Slack

  • Assist with other SGFF Teams where necessary

Qualifications

  • Eligibility for SGAC membership (under 35 years of age on 16 April 2018, and national of UN member state)

  • Strong interpersonal and communication skills

Logistics Team (2 positions) 


Members of the logistics team are detail-oriented, organized, and proactive individuals that will coordinate the logistics of the venue, hotel, social events, and other aspects related to events management. The smooth execution and maintenance of the SGFF is your priority. The logistics team will report to the SGFF 2018 Manager.

Responsibilities

  • Liaise with points of contact for venue related logistics

  • Organise social events and pre-event activities (dinners, visits, …)

  • Find hotels and travel information for guest speakers

  • Work with the finance and strategy team to elaborating estimated budgets for different organisational phases of the event

  • Attend virtual meetings and submit updates via Slack

  • Assist with other SGFF Teams where necessary

Qualifications

  • Eligibility for SGAC membership (under 35 years of age on 16 April 2018, and national of UN member state)

  • Registered member of the SGAC website (register here)

  • Strong interpersonal and communication skills

  • Professionally fluent in English

  • Can work independently and meet objectives in a timely manner

  • Can coordinate and work with a globally dispersed team

  • Can effectively work with an international, interdisciplinary team

  • Fast email and messaging response turnaround time

  • Familiarity with productivity tools is an asset (example: Slack)

  • Experience in event management is an asset

  • Familiarity with the Broadmoor and the Colorado Springs area is an asset

Program Team (2 positions)


Members of the Program Team are detail-oriented, knowledgeable about the space sector, and excited about creating a dynamic program for our delegates and guests. Providing the best opportunity for delegates’ professional development, learning, and networking at the SGFF is your priority. The Programs Team will report to the SGFF 2018 Manager.

Responsibilities

  • Develop and prepare the format and topics of the event

  • Identify potential moderators and speakers

  • Leverage SGFF and SGAC networks to fulfill diverse programming needs, collaborating with the SGAC Strategic Partnerships Team when necessary

  • Coordinate invitations to potential moderators and speakers, and act as a point of contact

  • Develop templates and standards for discussion groups and panels

  • Modify and adjust the program of the event, reviewing past programs, and take prior feedback into account

  • Write reports and documents following the event

  • Attend virtual meetings and submit updates via Slack

  • Assist with other SGFF Teams where necessary

Qualifications

  • Eligibility for SGAC membership (under 35 years of age on 16 April 2018, and national of UN member state)

  • Registered member of the SGAC website (register here)

  • Strong interpersonal and communication skills

  • Professionally fluent in English

  • Can work independently and meet objectives in a timely manner

  • Can coordinate and work with a globally dispersed team

  • Can effectively work with an international, interdisciplinary team

  • Fast email and messaging response turnaround time

  • Familiarity with productivity tools is an asset (example: Slack)

  • Experience in event programming is an asset

  • Current employment in the space sector strongly preferred

Estimated time Commitment: 2 hours per week prior to event +  2 days of the SGFF 2018 in Colorado Springs, USA

 

Finance and Strategy Team (2 positions)


Members of the Finance and Strategy Team are creative, dynamic, and goal-oriented individuals, eager to use all available resources and coordination with the overall SGFF team to meet financial and strategic objectives of the event. You will work closely with the SGAC’s SPT, Finance, Scholarships, and PR & Comms team, and report to the SGFF 2018 Manager.

Responsibilities

  • Evaluate progress of SGFF against provided metrics and ensure those goals are met

  • Coordinate with the Communications Team on social media and marketing campaigns to meet financial and strategic objectives

  • Coordinate with SPT team to ensure overall SGAC strategic objectives are met

  • Assist with the development and maintenance of the overall SGFF budget

  • Track event spending and costs

  • Identify and engage with potential supporters of SGFF program

  • Prepare proposals and other relevant documentation for programme support

  • Write reports and documentation following the event relating to the financial and strategic outcomes of the event

  • Attend virtual meetings and submit updates via Slack

  • Assist with other SGFF Teams where necessary

Qualifications

  • Eligibility for SGAC membership (under 35 years of age on 16 April 2018, and national of UN member state)

  • Registered member of the SGAC website (register here)

  • Strong interpersonal and communication skills

  • Professionally fluent in English

  • Can work independently and meet objectives in a timely manner

  • Can coordinate and work with a globally dispersed team

  • Can effectively work with an international, interdisciplinary team

  • Fast email and messaging response turnaround time

  • Familiarity with productivity tools is an asset (example: Slack)

  • Experience in fundraising and/or financial management is an asset

  • Experience in strategy development is an asset

  • Experience with commerce tools strongly preferred (example: EventBrite, Salesforce)

Note: All roles are voluntary and unpaid. SGAC is not able to provide any additional financial assistance for travel, accommodation, and other expenses incurred. If the volunteer is unable to attend, none of the above mentioned benefits are transferable or redeemable for their retail value.
