Thanks to the growth of the Space Generation Advisory Council (SGAC) in the past years, SGAC is seeking volunteers to join the SGAC Finance Team in various roles. This team support all SGAC activities, maintaining financial records, providing financial advice and helping with all reimbursements and receivables. Role Descriptions


We are looking for a volunteer to fill each of the following positions.

 

Accounting and Invoices 

This finance team member will support the treasurer in the execution of tasks within the finance team, and support all activity areas of SGAC with their accounting and invoicing needs.

Responsibilities

  • Review invoices and reimbursement requests for appropriate documentation and approval prior to payment

  • Prepare and process sponsorship invoices, electronic transfers and payments, in collaboration with Executive and third parties

  • Charge expenses to accounts and cost centers by analyzing invoices and expense reports

  • Manage relevant financial databases and accounts (e.g., Xero, Salesforce)

  • Assist with completion of all quarterly and annual financial reports

  • Maintain files and documentation thoroughly and accurately, in accordance with SGAC policy

  • Assist with other projects as needed (e.g., long term endowment planning)

This role reports to the SGAC Treasurer.

Estimated time commitment: 5 hours a week

 

Budgeting and Financial Monitoring

This team member will support the treasurer in the creation and forecasting of the SGAC global budget, and in the issues relating to taxes. S/he will provide support to SGAC teams in creation of their own internal budgets.

Responsibilities

  • Prepare SGAC forecasted financial statements, including an income statement, cash flow, statement of financial position, and various financial ratios

  • Provide support and expertise for event budgets (including global, regional and local events)

  • Prepare annual tax filings with IRS and other jurisdictions as needed, in collaboration with external accountants

  • Maintain files and documentation thoroughly and accurately, in accordance with SGAC policy

  • Assist with other projects as needed (e.g., long term endowment planning)

This role reports to the SGAC Treasurer.

Estimated time commitment: 5 hours a week

 

Comptroller

The Comptroller will work alongside the SGAC Treasurer in the preparation of the logistics and overall management of the project and event manager finance training programs, SGAC budgeting, and standardization of these processes. This role includes overseeing the development of standardized budget and presentation forms, training methods such as webinar and video tutorials, and ensuring a successful budgeting process for all of SGAC.

Responsibilities

  • Creating standardized budget, invoicing forms, and other financial templates

  • Creating video tutorials as well as hosting webinars and one-on-one training for project and event managers in finance and budgeting using the above templates

  • Management of the budget document standardization, project and event finance training program preparation, scheduling, contact with SGAC event and project managers, etc

  • Participation in weekly meetings with the SGAC Finance team and execution of action items resulting from meetings

  • Assistance in the coordination of SGAC budgeting activities

The SGAC Comptroller will report to the Treasurer, and work closely with the SGAC Finance Team and local project and event managers.

Estimated time commitment: 7-10 hours a week

 

Necessary Qualifications and Skills


  • SGAC Membership (registration on the SGAC website and aged below 33.5)

  • Ability to work in a fast paced, quick turnaround international environment and meet deadlines without compromising the quality of work
  • Professional Fluency (Speaking, Reading, and Writing) in English
  • Awareness of international cooperation principles, concepts and techniques
  • Proficiency and dedicated track record in financial management; this may include being the Treasurer of a non-profit or society or experience managing finances for a company

  • Knowledge of common accounting procedures including balance sheets, Profit & Loss (P&L’s), account reconciliation, and financial reporting

  • Proficient in Microsoft Excel and Word, and their google apps counterparts

  • Responsive and quick email turn around time

  • Must be well organized and a self-starter

  • Detail oriented, professional attitude, reliable

  • Previous event management experience is highly desirable

  • Experience with Xero and Salesforce would be a plus

  • A background in creating budgets, standardized templates, and customized training programs is a plus
