Join the SG[Japan] Organising Team!
The Space Generation Advisory Council (SGAC) is seeking motivated and dedicated volunteers to contribute their expertise and enthusiasm to the organization of SG[Japan], taking place on July, 2026, in Tokyo, Japan, alongside SPACETIDE.
This dynamic one-day event will bring together young professionals and students (ages 18–35), as well as representatives from industry, academia, and government, to shape the next generation’s perspective on space and scientific developments in Japan. Participants will engage with experts through keynotes, plenary sessions, panel discussions, and working groups, gaining insights and sharing ideas that help advance the global space community.

Role Descriptions
Program Team (3 positions)
The Program Team is responsible for designing the event’s agenda and coordinating the activities of the working groups.
Responsibilities:
- Design and structure the event agenda, including thematic sessions and working group activities.
- Identify, invite, and coordinate with moderators, speakers, and working group leads.
- Facilitate collaboration among team members via cloud-based platforms.
- Draft and compile related reports and documentation.
- Create and share the Delegate Handbook prior to the event, alongside the Delegates Team
- Support the Event Managers in the creation of the event slides for the day of the event.
Estimated time commitment: 2–3 hours per week on average.
PR & Comms Team (2 positions)
The PR & Comms Team is responsible for creating and executing the communications strategy to promote the event and engage potential delegates and partners, in coordination with the SGAC Public Relations and Communications Teams, as well as the Event Managers.
Responsibilities:
- Draft press releases and promotional materials.
- Manage media relations and advertising before, during, and after the workshop.
- Coordinate social media outreach and engagement.
- Develop and implement the event’s communication and outreach strategy.
- Collaborate with the Organizing Team and partner organizations for promotional efforts.
Estimated time commitment: 2–3 hours per week on average.
Delegate Team (2 positions)
The Delegate Team is responsible for managing the delegate experience throughout the event cycle, from application and selection to on-site coordination.
Responsibilities:
- Serve as the main point of contact for delegates before, during, and after the event.
- Support the delegate application and selection process, if applicable.
- Maintain and update a delegate database.
- Coordinate on-site delegate experience, including registration, guidance, and support.
- Provide assistance and answer inquiries from participants.
- Create and share the Delegate Handbook prior to the event.
Estimated time commitment: 2–3 hours per week on average.
Sponsorship Team (2 positions)
The Sponsorship Team is responsible for engaging with local sponsors, developing partnerships, and executing sponsor agreements, in coordination and under the supervision of SGAC’s Business Development Officer and Executive Director.
Responsibilities:
- Finding and reaching out to potential connections for sponsorship opportunities, in compliance with SGAC partnership and sponsorship policies.
- Organising and hosting calls with potential sponsors, in compliance with SGAC partnership and sponsorship policies.
- Guiding the sponsors through the process of onboarding, sharing relevant event information and handling other sponsor requests.
- Handing over sponsors to the programme and logistics teams once they have selected their sponsorship packages.
- Drafting of partnership agreements
- Create and update the Sponsor Handbook
- Enhance and maintain the sponsorship kit.
- Enhance and maintain the event CRM.
- Support coordination of sponsorship agreements and partnership documentation.
- Support the Treasurer and Finance Team with sponsor invoices.
Estimated time commitment: 4-6 hours per week on average.
Finance Team (1-2 positions)
The Finance Team supports financial planning, budget management, and coordination with SGAC’s Treasurer and SGAC’s Finance Team, to ensure the sound financial execution of the event.
Responsibilities:
- Monitor and manage the event budget including sponsorships, ticket sales, and expenses.
- Coordinate with team leads regarding financial needs and allocations.
- Generate sponsorship invoice documentation in collaboration with the SGAC Finance team ensuring proper receipt of sponsorship funds including after event completion.
- Prepare financial reports and ensure transparency of expenditures, consolidating reimbursements required to operate the event (note: Finance team may be expected to pay minor expenses on site when SGAC Finance team is unable to pay in advance).
- Support the creation of financial documentation for sponsors.
Estimated time commitment: 2–3 hours per week on average.
Logistics Team (3 positions)
The Logistics Team is tasked with coordinating all logistical aspects of the workshop, including venue arrangements, catering, travel logistics, and social events, to ensure a smooth on-site experience. Applicants for this team must be available to attend the event in person.
Responsibilities:
- Coordinate the Event setup and venue logistics.
- Organize local transportation and social events, if applicable
- Assist in preparing budget estimates for various phases of the event.
- Support A/V logistics, especially for hybrid or virtual formats (if applicable)
- Support the creation and update of the Delegate and Sponsor’s Handbook
Estimated time commitment: 3-4 hours per week on average.
* Native or high level of Japanese is desirable for this position
