After another successful and fulfilling event in Baku, Azerbaijan, during the Space Generation Congress (SGC) in 2023, SGAC is looking for highly motivated volunteers to help organize the next SGC in 2024, which will take place in Milan, Italy, from October 10th to 12th.

The 22nd Space Generation Congress (SGC) will take place in Milan, Italy, from October 10th to 12th, in conjunction with the 75th International Astronautical Congress (IAC). Therefore, SGAC is looking for highly motivated young space leaders to be part of the SGC 2024 Organizing Team.

The Space Generation Congress (SGC) is a 3-day annual event where SGAC receives 150 students and young professionals from all over the world with various professional and cultural backgrounds. The SGC is part of the support of SGAC to the United Nations (UN) Programme on Space Applications and is always held before the International Astronautical Congress (IAC). During this event, the delegates get to be part of multiple activities that allow them to network, learn new things and share their perspectives about relevant topics across the space sector. Furthermore, the SGC includes engaging keynotes and panels from experienced professionals, aiming to inspire and provide the delegates with valuable information to develop their careers as space professionals.  

All members of the SGC Organising Team will gain invaluable project management skills along with leadership and international work experience. Applications are open to all SGAC members. 

Open Positions

Logistics Team (5 Positions)

The logistics team performs much behind-the-scenes coordination to guarantee that all the event venues are well-equipped and fit for a successful SGC. Furthermore, the logistics team also supports the activities organized by SGAC at the IAC. 

Members of this team will have to:

  • Pay great attention to details (Ex. prices, addresses, room capacities, etc)
  • Be ready to work under an inconsistent schedule driven by the needs before and during the event
  • Be flexible
  • Coordinate with various local businesses (Ex. Transportation Services, caterers, restaurants, etc)

The primary responsibilities of the logistics team include the following:

  • Coordinating with local providers for everything related to the logistic
  • Ensuring that all equipment and supplies are delivered on time at the location before and during the event.
  • Selecting venues that can host SGAC activities related to the SGC or the IAC
  • Negotiating and coordinating with local caterers (for SGC and IAC-related events)
  • Determining and communicating the transportation elements of the event
  • Identifying local partners

Estimated time commitment: 

  • 12 hours per day during the event
  • 2 hours per week before the event

Period of Performance: January 30th to November 1st, 2024.

Requirements

  • SGAC Membership (free registration on the SGAC website required, and aged 18-35 years old during the performance period)
  • Mandatory attendance at SGC/IAC 2024
  • Fluency in written and spoken English
  • Prior experience as a delegate or team in an SGAC Event would be a plus
  • Residency in Milan, Italy, would be a plus
  • Fluency (Speaking, Reading, and Writing) in Italian would be a plus

Delegates Team (5 Positions)

The Delegates Team is responsible for coordinating with the SGC delegates throughout all the stages of SGC 2024, including application, selection, registration, and participation. In addition, the Delegates Team is also responsible for selecting and allocating specific groups of participants (Ex. scholarship winners, moderators, etc.) and collecting feedback before, during, and after the event. Furthermore, members of this team must be able to provide a quick response rate to questions from the delegates, establishing the communication channels that delegates use to stay up-to-date before and during the SGC. Lastly, the members of this team are also responsible for executing the in-person registration on the day of the event. 

Members of this team will have to:

  • Review and analyze large amounts of information within a short timeframe (A special attention will be dedicated to the reviewing phase of the delegate applications)
  • Communicate clearly and efficiently with the SGC 2024 Delegates
  • Be available to answer any questions from the delegates

The primary responsibilities of the delegates team include the following:

  • Coordinating with all the SGC 2024 delegates (150 approx.)
  • Acting as the main point of contact for delegate requests
  • Drafting and maintaining the Delegate Handbook in collaboration with the other teams
  • Communicating the daily agenda and announcements to the delegates before and during the event
  • Supporting the coordination with all the SGC 2024 scholarship winners, including travel, logistics, and allocation to ensure a positive experience at the SGC
  • Working together with the SGAC Scholarships Coordinators and coordinating the scholarship winners meet and greet with partners

Estimated time commitment: 

  • 8 hours per day during the event.
  • 5 hours per week before the event.

Period of Performance: January 30th to November 1st, 2024.

Requirements

  • SGAC Membership (free registration on the SGAC website required, and aged 18-35 years old during the performance period)
  • Fluent in written and spoken English, with good grammar and writing skills
  • Ability to provide world-class customer service to delegates and rapidly solve issues
  • Ability to work in a multicultural and diverse environment
  • Mandatory attendance at SGC/IAC 2024
  • Prior experience as a delegate or team in an SGAC Event would be a plus

Programming Team (5 Positions)

The Programming Team is responsible for developing and managing the content of SGC and IAC activities organized by SGAC. Therefore, members of the programming team coordinate with SGAC partners to develop the Working Group content, prepare the SGC schedule, define the panel topics, and organize the evening events. 

Members of this team will have to:

  • Be comfortable with public speaking
  • Bring much energy and a positive attitude to the audience
  • Be familiar with current trends in the industry
  • Be ready to improvise in case of need or technical issues 

The primary responsibilities of the programming team include the following:

  • Collaborating with the SGC Managers and the Working Group sponsors to develop the Working Group topics and focus questions
  • Train Working Group moderators
  • Serving as the interface between the Working Group sponsors and the delegates. 
  • Creating and maintaining the event schedule 
  • Serving as event moderators throughout the SGC and at IAC activities organized by SGAC

Estimated time commitment: 

  • 8 hours per day during the event.
  • 3 hours per week before the event.

Period of Performance: January 30th to November 1st, 2024.

Requirements

  • SGAC Membership (free registration on the SGAC website required, and aged 18-35 years old during the period of performance)
  • Fluent in written and spoken English, with good grammar and writing skills
  • Excellent public speaking skills 
  • Ability to coordinate effectively with senior members of the space sector
  • Interest in developing relevant discussion topics and selecting speakers
  • Mandatory attendance at SGC/IAC 2024
  • Prior experience as a delegate or team in an SGAC Event would be a plus.

Publications, Communications, and Media Team (5 Positions)

The PR & Comms Team is responsible for developing and managing SGC graphics, public relations, and advertising material before and during the event. In addition, this team also prepares and publishes SGC-related reports, documents, and articles. Therefore, members of this team focus on public relations before, during, and after the event, including social media campaigns, photography, and interviews with delegates and external guests.

Members of this team will have to:

  • Be creative 
  • Think of appropriate strategies to get the word out
  • Make use of diverse types of advertising 

The primary responsibilities of the PR & Comms team include the following:

  • Managing all media relations and advertising activities before, during, and after the SGC
  • Creating multimedia content such as graphics and videos
  • Developing a media/press kit
  • Coordinating with the SGAC PR Communication team to ensure the success of the social media campaigns throughout the SGC and at IAC activities organized by SGAC
  • Developing brochures for promotional and organizational materials
  • Writing of press releases
  • Liaising with IAF and other organizations to promote SGAC’s SGC and IAC-related  activities
  • Performing on-site photography and videography
  • Performing on-site interviews with SGAC delegates and partners
  • Coordinating with the team to ensure all documents are consistent and well-written
  • Leading the editing process for the SGC 2024 Final Report, providing a summary of the recommendations from the SGC Working Group discussions

  • 8 hours per day during the event.
  • 2 hours per week before the event.

Requirements

  • SGAC Membership (free registration on the SGAC website required, and aged 18-35 years old during the period of performance)
  • Fluent in written and spoken English, with good grammar and writing skills
  • Interest in developing social media presence, creating and editing brochures and flyers
  • Experience in photo/videography, video editing, and graphic design (mainly Canva)
  • Experience in writing articles and publications would be a plus
  • Mandatory attendance at SGC/IAC 2024
  • Prior experience as a delegate or team in an SGAC Event would be a plus
