Forum Organising Team!
SGAC is looking for volunteers to support the organisation of the Space Generation Fusion Forum (SGFF) 2025, to be held April 4-7, 2025 in Colorado Springs, USA. All organising team members will report to the SGFF 2025 Manager Danielle Bierman (United States) and the SGFF 2025 Deputy Manager.
The Space Generation Fusion Forum (SGFF) is a SGAC event held in conjunction with the 40th Space Symposium hosted by the Space Foundation. The high-intensity networking and professional development event exposes selected delegates to a range of current and relevant space topics, providing opportunities to discuss important issues in the space industry, interacting with other students and young professionals, meeting and engaging with top-level space industry experts, and providing input that is presented to the United Nations Committee on the Peaceful Uses of Outer Space.
Role Descriptions
Communications and Publications Team (3 positions)
The communications team is a dynamic, innovative, enthusiastic team with creative members. You are eager to communicate the benefits and advantages of being involved with the SGFF to our target delegate audiences, and partners, while ensuring your campaigns are consistent with the overall SGAC communications strategy.
Responsibilities:

Research, develop, and execute a communications strategy for attracting delegates from
new sources (universities, companies) to the SGFF
● Create and execute a social media and marketing plan to increase visibility of the SGFF in
collaboration with the SGAC PR & Comms team – before, during, and after SGFF
● Ensure that the SGFF websites are up to date by working the SGFF organizing team (to
identify new content required) and the SGAC Web Team
● Write and edit press releases for social media platforms and the SGAC website, including live
tweets and posts during the SGFF
● Create content and other marketing materials for SGFF for SGAC social media platforms
● Develop high-quality publications/reports from content generated by the communications
team at the conclusion of SGFF
● Collaborate with the SGAC Public Relations and Communications Team to ensure that
branding for publications is aligned with SGAC
● Attend virtual meetings and submit updates via Slack● Assist with other SGFF Teams as required
Qualifications
- SGAC membership: registration on the SGAC website and below 35 years of age on 5 April 2025
- Strong interpersonal and communication skills
● Professionally fluent in English
● Can work independently and meet objectives in a timely manner
● Can coordinate and work with a globally dispersed and interdisciplinary team
● Fast email and messaging response turnaround time
● Familiarity with productivity tools is an asset (example: Slack, Google Drive, WordPress)
● Experience with graphic design software (Adobe Illustrator, Indesign, Photoshop etc.) is an
asset
● Experience in website design software (WordPress, GoDaddy, etc.) is an asset
● Experience in social media marketing is an asset
● Experience with video and photo editing is an asset

Delegates Team (4 positions)
Members of the delegates team are professional, articulate, and eager to provide assistance and guidance to potential and accepted delegates about the application process, the forum, and logistics of the event. You will serve as the main point of contact to all applicants. You will also aid in the evaluation of delegate applications.
Responsibilities:

Prepare or update the rubric for assessing delegate applications to attend the SGFF 2025
● Support the selection of delegates through evaluation against this rubric to ensure that SGFF
selects a diverse mix of qualified students and young professionals
● Coordinate all contact with delegates regarding the status of their application as well as any
communication required leading up to, and during, the SGFF
● Manage and update channels for inter-delegate communication (example: SGFF 2025
WhatsApp group)
● Act as the point of contact for delegates issues/questions and quickly resolve concerns
● Create the Delegates Database, keep it up to date, and compile metrics
● Assist the Communications Team in compiling information for the SGFF website including
delegate bios and headshots
● Work to connect delegates with scholarship opportunities; as required, facilitate the
scholarship process to collect application materials and prepare for review
● As required, support the online delegate registration process
● Attend virtual meetings and submit updates via Slack● Assist with other SGFF Teams where necessary
● Members of the delegates team may also be called upon to act as moderators for SGFF
breakout sessions

- Experience with commerce tools is an asset (example: EventBrite)
- Experience in customer service is an asset

Logistics Team (3 positions)
Members of the logistics team are detail-oriented, organised, and proactive individuals that will coordinate the logistics of the venue, hotel, social events, and other aspects related to events management. The smooth execution and maintenance of the SGFF is your priority.
Responsibilities:
- Liaise with external points of contact for venue-related logistics
- Coordinate ordering and logistics for swag and giveaways
- Coordinate logistics of sponsor giveaways – picking up shipments and assembling gifts
- Organise social events and pre-event activities (dinners, visits, etc)
- Develop and prepare the schedule for all external events (dinner, visits, organizing team setup activities, etc)
- Assist in locating hotels and travel information for guest speakers and delegates
- Create estimated budgets for different organizational phases of the event in support of the SGFF Manager and Deputy Manager
- Develop an insurance plan for the event
- Assist the Communications Team in compiling the delegate handbook with relevant information about the Colorado Springs area, transport and accommodation
- Work with the managers to plan for the virtual component of the hybrid conference
- Attend virtual meetings and submit updates via Slack
- Assist with other SGFF Teams where necessary
Qualifications

- Professionally fluent in English

- Familiarity with the Broadmoor and the Colorado Springs area is an asset

Programs Team (5 positions)
Members of the Programs Team are detail-oriented, well connected and knowledgeable about the space sector, and excited about creating a dynamic program for our delegates and guests. Creating an environment which offers the best opportunity for delegates’ professional development, learning, and networking at the SGFF is your priority.
Responsibilities:
- SGFF Manager and Deputy Manager will have a vision for overall programming expectations; Programs Team members will work together and develop a strategy to execute this vision for programming content, speakers, and overall experience
- Programs Team members will utilise knowledge of current events and space industry to propose meaningful, exciting content for SGFF
- Identify potential moderators and speakers from across the space industry in collaboration with the SGAC Strategic Partnerships Team
- Coordinate invitations to potential moderators and speakers, and act as a point of contact
- Develop and prepare the SGFF programming schedule, utilizing previous lessons learned to balance content and delegate networking experiences
- Develop templates and standards for use in discussion groups and panels
- Assist the Communications and Publications Team in compiling the delegate handbook with relevant information about the SGFF, the SGFF schedule, biographies speakers/moderators/panelists
- Attend virtual meetings and submit updates via Slack
- Assist with other SGFF Teams where necessary
- Members of the programs team will also likely be called upon to act as moderators for SGFF
breakout sessions
Qualifications

- Strong interpersonal and communication skills
- Professionally fluent in English
- Can work independently and meet objectives in a timely manner
- Can coordinate and work with a globally dispersed and interdisciplinary team

- Experience in event programming is an asset
- Current employment in the space sector strongly preferred

Period of Performance: October 2025 through Early May 2025

Note: All roles are voluntary and unpaid. SGAC is not able to provide any additional financial assistance for travel, accommodation, and other expenses incurred. If the volunteer is unable to attend, none of the above mentioned benefits are transferable or redeemable for their retail value.
