Call for E-SGW Organising Team

The SGAC has been setting the standard for young professional events in Europe for nearly ten years – and what better place to celebrate the 10th edition of the European Space Generation Workshops than the United Kingdom, in the city of cities – London!

For the last two years, the SG[UK] team has been working to evolve local events and change how they bring value to everyone involved. With this opportunity, we want to make this event the most impactful young professional event in Europe for 2026. And we need you to make this possible.

Role Descriptions

Program Team (7 positions)

The Program Team is in charge of the creation and organisation of the day by shaping the topics covered during the event. In this role, you can expect to establish relationships with key leaders in the Space industry and take ownership of your roundtable session. If you want to inspire discussions that will be tackled by the big players of our industry, this role is for you!

Responsibilities:
● Developing and preparing the program and the topics for the Round Tables.
● Selecting suitable speakers and experts.
● Supporting and facilitating the roundtable sponsor and subject matter experts to ensure they are prepared and can value the experience
● Coordinating and moderating the Round Table session, documenting key outcomes.
● Supporting delegates in the creation of actionable resolutions to be later presented.

Estimated time commitment: 2-4 hours a week on average.

Marketing Team (1 position)

This team supports all marketing activities pertaining to the event, working closely with the central SGAC PR and Communication Team and the Event Manager. If you can explain complex topics in a simple drawing, this is the role for you.

Responsibilities:

● Creation of a marketing campaign for the year with plans of when to release posts
● Coordinating media relations and advertising before, during and after the event.
● Create graphic designs and promotional videos for the event.
● Coordinating social media communication, writing press releases
● Developing promotional materials as part of sponsorship packages for the event.
Estimated time commitment: 2-4 hours a week on average.

Delegates Team (2 positions)

This team is in charge of managing the Delegates, who form most of the attendees to the event and are the lifeblood of any SG event. These activities include running the application and selection phase, and managing communication before and after SG[UK]. Do you like being social and helping people? If so, this is the right position for you! 

Responsibilities:
● Coordinating all contacts with delegates, pre and post-selection.
● Supporting the selection of delegates.
● Being the point of contact for delegates on issues/questions.
● Delivery of the Delegates’ handbook.
● Creation and curation of a delegates’ database for event statistics
●Estimated time commitment: 2-4 hours a week on average.

Technical Writer (1 Position)

What good is an event if the impacts can’t be captured and built upon in future? Our team are looking for someone who can help capture information on the day and document it throughout. More than a writer, this member shall support the peer reviewing of all public documents for the event, including the handbook and the summary of outcomes document.

Responsibilities:
● Supporting in the technical writing of all documents
● Working with the creative and website leads to ensure information is correctly relayed
● Working with the Event Managers and the Delegates team to curate all information shared
publicly.

Estimated time commitment: 2-4 hours per week on average

Logistics Team (4 positions)

This team administers the logistics aspects of the event: schedule, venue, catering, social event
program, closing dinner, and much more. Do you enjoy doing trade-offs in your spare time for the best gadgets? Are you the friend who always organises the day out? If so, that position is the right one for you.

Responsibilities:
● Organising the what, when, and how of the event.
● Creating and implementing the schedule for the day
● Liaising with responsible persons for venue set-up, operation and closing
● Organising the social events, such as closing dinner, visits, and after party
● Creation of the Sponsors’ Handbook
● Finding hotels and travel information for the guest speakers

Estimated time commitment: 2-4 hours per week on average.

Sponsors Team (2 positions)

The Sponsors team shall at many points be the first point of contact for companies that would
support and attend the ESGW. Their work shall orient around raising funds, building partnerships and
ensuring that the event can fund itself.

Responsibilities:
● Finding and reaching out to potential connections for sponsorship opportunities
● Organising and hosting calls with potential sponsors, in compliance with SGAC policies
● Guiding the sponsors through the process of onboarding
● Handing over sponsors to the programme and logistics teams once they have selected their sponsorship packages
● Support coordination of sponsorship agreements and partnership documentation.

Estimated time commitment: 4-6 hours per week on average

Necessary Qualifications

  • SGAC membership: registration on the SGAC website and below 35 years of age.
  • Proven interest in the Space industry and its impact on the World.
  • Ability to work in a fast-paced, quick-turnaround international environment and meet deadlines without compromising the quality of work.
  • Good English skills with a keen eye for details.
  • Excellent teamwork skills and a high degree of self-organisation.
  • Global communicator: cross-cultural and communication awareness.
